Heathrow Airport Transfer Guide: Pickup, Waiting Time and Booking Tips

A Heathrow pickup becomes much easier when the terminal, flight details, luggage and meeting arrangements are confirmed before travel. This guide explains what to check and how to avoid common booking-day problems.

Heathrow transfer checklist

  • Confirm the correct terminal with the airline.
  • Enter the flight number for an arrival pickup.
  • Provide accurate passenger and luggage numbers.
  • Read the meeting instructions before landing.
  • Keep the passenger’s phone switched on.

Why pre-booking matters at Heathrow

Heathrow is a large airport with separate terminal areas and busy road access. A pre-booked private hire transfer gives the passenger a confirmed journey, an agreed pickup plan and a clear point of contact if the flight or itinerary changes.

It is particularly useful for families, groups, passengers carrying several bags, first-time visitors and anyone travelling onward to an address that is inconvenient by public transport.

Confirm the right Heathrow terminal

Passenger flights currently use Heathrow Terminals 2, 3, 4 and 5. Do not assume the terminal based only on a previous trip: airlines and individual flights can use different terminals.

Good practice: Check the terminal directly with the airline or Heathrow shortly before travelling, particularly after an itinerary change.

How Heathrow arrival pickups work

For a meet-and-greet booking, follow the pickup instructions included in the confirmation. The precise arrangement depends on the terminal and the booked service. After landing, collect your luggage, switch on your phone and check for driver or support messages.

If you cannot find the driver, contact them using the supplied details. If you cannot reach the driver, contact Tranzitt support rather than leaving the agreed meeting area without notifying anyone.

Flight delays and early arrivals

Provide the correct flight number when booking. Tranzitt monitors most commercial flights and can adjust airport pickups for delays. Passengers should still contact support when a delay is significant, the flight number changes or the airline reroutes the journey.

If a flight arrives early, the driver remains scheduled according to the original booked arrangements. Checking the confirmation avoids assumptions about when the complimentary waiting period begins.

Understanding waiting time

A standard Tranzitt airport pickup includes 60 minutes of complimentary waiting time from the flight’s actual landing time. Waiting charges apply after the included period.

If the customer deliberately books the pickup for more than one hour after the flight lands, the driver arrives at the booked pickup time and 15 minutes of complimentary waiting time applies from that time. Always review the latest confirmation and terms because the booking arrangement controls the journey.

Choose a vehicle using passengers and luggage

The cheapest vehicle is not suitable if the passengers and bags will not fit safely. Count checked suitcases, cabin bags, pushchairs, mobility equipment and oversized items before requesting quotes.

  • Enter the exact number of travelling passengers.
  • Count large and small bags separately where the booking form requests it.
  • Request child or booster seats in advance.
  • Explain accessibility or mobility requirements before paying.
  • Confirm golf clubs, skis, bicycles or unusually large items with the team.

Allow enough time for a Heathrow drop-off

Road traffic, check-in rules and security queues can change. Work backwards from the airline’s recommended airport arrival time, then add a realistic road-journey allowance. Do not base the pickup time on the fastest journey estimate shown by a map application.

For an early flight, a large group or a long-distance journey, booking in advance also gives more time to arrange an appropriate vehicle.

Details to have ready before booking

  • Complete pickup and destination addresses
  • Correct travel date and local pickup time
  • Flight number and Heathrow terminal
  • Passenger’s mobile telephone number
  • Number of passengers and bags
  • Extra stops or special pickup instructions
  • Child seat, accessibility or oversized-luggage requests

Common Heathrow transfer mistakes

Using the flight departure time for an arrival pickup

For an airport collection, use the scheduled arrival information and provide the flight number. The departure time from the origin airport is not the Heathrow arrival time.

Entering the booking date in the wrong time zone

Use the local date and time at Heathrow. Overnight flights can arrive on the calendar day after departure.

Underestimating luggage

A vehicle that seats the passenger group may not also accommodate every suitcase. Accurate luggage information is essential.

Booking before checking the destination address

Postcodes can cover several buildings or entrances. Provide the complete hotel, home, university or port address whenever possible.
